Outstanding Development and Implementation
Comentários: The different stages I have been in with InSync has far exceeded my expectations. The team I have worked with from [SENSITIVE CONTENT HIDDEN] everyone has been not just patient and kind, but knowledgeable and helpful. The customer service alone would keep me with InSync, but the actual product is easy for all of our different types of workers from the more technologically hesitant to those who are more fluent in different EHRs. I was hesitant to change EHRs because I know how extensive the transition can be but I have to say it has gone much much better than I would have ever thought!
Vantagens:
I have had to change systems before just a few years ago and the development and implementation team we worked with for InSync was beyond phenomenal. Not just knowledgeable but really eager to make the system work for us instead of just getting it implemented. We had some big changes for our organization in the middle of it and the InSync team came to us with not just a ton of positivity but with solutions and suggestions to our concerns. Phenomenal team.
Desvantagens:
I am currently at a point where I am finding very little that I dislike about the program. There is always the minor hiccup here and there finding things we thought we created right but needing to adjust and that really just comes with any system.

Could be Better, But Better than What We Had
Comentários: We got into Insync before it was part of the Qualifacts brand, so I can't speak from the start of use till now (It was rather rocky, as systems we had been shown and advised were capable of being used turned out to be unusable or not available). However, since the purchase Qualifacts made, we have been given smoother update notifications, a better way to connect with customer service (we had previously never known where we were with an issue on Insync's side, but now we can track it), and there seem to be more improvements being made now each month.
Vantagens:
-Ease of Use -Everything you could need is in one system -Reports Pull Data with little to no missing data -So many helpful reports -Customizable -Customer Service has Quick Response Time -There are always improvements being made -We are encouraged to provide improvement requests -We are asked to provide feedback on our customer reps -Almost everything in the billing side of the system for the practice
Desvantagens:
-The patient scheduler is an "appointment requester" and not a scheduler on the patient side. -The customer reps do not call when we provide them with times we are available. -There is a limited amount of my team wo are allowed to make tickets for issues, which does not help when they are having technical issues that we are not there to assist with when the customer reps call us, and not the person having the issue. -The knowledge of the customer reps when we explain how something should work, or how we would like things to work is a 4/10. -Having to purchase Insync, and not have a rent or trial option
Buyer beware!
Comentários: Started out great, sales pitch was obviously exciting. Once we started communicating challenges, the walls went up. They didn't try to compromise at all.
Vantagens:
There's really nothing all that exciting about this software. The only positive is that it's highly customizable, but there's many others that are. This company's biggest claim is that they "sell" you a software license. So once you pay it off, there price goes down.
Desvantagens:
They "sell" you a software license that you can never return. If you drop $50k like we did and the program ends up not working, they WILL NOT return your money. After trying to work with their [SENSITIVE CONTENT] to get our money back, we were told too bad, the deal is done. As a small PT company try to survive, that was a difficult experience.

One stop shop EMR
Comentários: Our implementation guys, [SENSITIVE CONTENT]and [SENSITIVE CONTENT]were great. [SENSITIVE CONTENT]our trainer was absolutely incredible and support calls have been so good. They are really responsive. The appointment reminders contact was not a good experience, hard to get a meeting to get those fixed. Also the EDI contact was not helpful in resolving our enrollment issues. We made it through mostly on our own, but that was a very frustrating process compared to our old system.
Vantagens:
All features in one system. Faxing, e-prescribing, PMP, billing, scheduling, ect. all in one. The ability to edit and create what we need. I love the ease of sending and receiving forms to patients, I love the fax integrated and able to save and upload so easily. I LOVE the to do option to coordinate between staff for medication issues and testing referrals. The med team is a big fan of the PMP inclusion. The front staff really likes the kiosk for patients who did not do paperwork prior to coming in. The patient portal is also so much better that we had before. We love the facesheet, it has become our new go to. The customizability of the dashboard. Assessment options already included that we can easily send out to patients and when they come back already scored. Ease of creating patient groups.
Desvantagens:
Billing not being current without the encounter closed. That is a huge issue with having a current bill at check in as we need to be able to more easily have a current charge at check in that includes that days encounter. Compatibility with IPads are such that makes them not a good match and that has been disappointing. We had some providers who bought one planning to use that and found you cannot hover over icons with an ipad. Not having an easy no show fee option and having to "bill that" instead of just quickly and easily adding a fee from the schedule at check in. Not seeing the phone number for the patient on the appointment scheduler when you hover over the appointment. The Payors/EDI enrollment process was very difficult compared to Therapy Notes. The inflexibility in the scheduler, I understand having those in blocks but it is a hassle to have that so strict. Speed between screens. The time it took for me and a few admin people to implement this system. I did not realize at the beginning what I was in for in regards to time and it was really tough to juggle with the regular needs of operating.

Loving it.
Comentários: It has all been great. I loved the customization process and getting to be a part planning how we use the system instead of having to bend or redo every internal process in order to fit the system.
Vantagens:
The integrated clearinghouse info is so helpful. The ability to resubmit claims through InSync is a huge plus. I love that I can work rejected claims within InSync. Prior to this, I was having to wait until I got EOBs to see any rejections or inactive insurance issues. Now, I can catch those issues much faster (sometimes the same day) and fix the issues.
Desvantagens:
My least favorite thing is the inability to see visits in patient demographics - financials unless a claim is done. If I have a claim back-log, the front office can't pull the financial details for a client. We were used to a view/edit charges type arrangement that showed visits regardless of whether or not the claim had been processed (which wasn't always a good thing). It's more of an adjustment to how we do things than a criticism of the software.

Comentários: We had several people on our implementation team, all of whom were great to work with! Each person was responsible for making a different portion of our implementation run smoothly — they sent someone to our office to observe for a few days and understand our needs and desires for our practice, then spent the next few weeks building it out and meeting with me to make sure we were happy with it. Another person was solely responsible for migrating our data from our old system. Another spent a week at our site teaching our whole staff how to use the new system. We had weekly zoom call scheduled before and after our ‘Go Live’ date to make sure we have all the support we need. Then we have an on call support staff for any ongoing needs or questions following that. They really want to make sure we are taken care of… Everyone we have dealt with at InSync has been super nice. Our implementation specialist, [SENSITIVE CONTENT], and our trainers [SENSITIVE CONTENT], were personable, professional, organized and knowledgeable! Implementing a new system can be stressful, but the three of them made everyone feel relaxed and we had a great time with them!
Vantagens:
The product looks a little overwhelming at first, but the team at InSync held our hands, every step of the way and we are picking it up quickly. Even some of our self-proclaimed ‘tech-dumb’ staff members are loving it. We love that it is all inclusive and we were able to streamline so many of our procedures. We no longer outsource our insurance claims processing, we spend way less time on data entry related tasks, progress notes are much quicker and more accurate, the clients are having a much easier time with the billing statements and their client portals. The ‘To Do’s’ feature allowed us to eliminate the use of an additional (and expensive) help desk software system for managing tickets and tasks. InSync seemed a little pricey up front, but when we looked at how it eliminates the need for other costly services and helps us keep track and not lose money from missed / rejected claims, etc… it is definitely paying off!
Desvantagens:
We only ran into a couple of snags along the way, but when we did, there was a team of people to fix them — usually within a couple of hours or a couple days. They’ve also taken down ideas from us for future features to potentially add to the system.
Insync helped us say Bye bye bye to outdated systems.
Comentários: The helpfulness of the staff that we worked with during implementation has been absolutely amazing. [SENSITIVE CONTENT] will forever be my favorite Insync employee. She was kind, polite, prompt and professional. [SENSITIVE CONTENT] were also extremely helpful.
Vantagens:
Previously, we had used 3 other EHR's, each with their own set of issues. However, the last one really took the cake. We were promised timely access to support, the ability to customize many things and ease of use. We stuck it out for 2 years, but when the EHR started deleting notes, not saving information, changing dates and times, we had no choice but to switch. So far, Insync has delivered everything promised and more. What took me 2-3 hours and several applications in previous EHR's, takes one report and maybe 20 minutes in Insync. This literally saves me hours of work. I have yet to have a question that cannot be answered.
Desvantagens:
The only thing I did not care for was the amount of ways to do one thing. So, it's not even a real complaint. But when teaching staff how to do things, it can be confusing to show them how to start an encounter from the facesheet, and the scheduler and the dashboard etc. It is nice that there are so many ways to complete a task but it is also a bit of a pain.
Insync - efficiencies on EHR and RCM sides
Comentários: Overall Insync Healthcare Solutions is a comprehensive integration of clinical and business in one user-friendly customizable product.
Vantagens:
We have been using Insync for a year now and overall have been very pleased. On the EHR side, the customization of the platform, particularly the Encouter Notes has been the best feature. Being able to tailor it to our patient population with integration of review of systems, quick check-boxes and so many scales has streamlined our documentation and improved efficiency. On the RCM side, having a designated team has been invaluable! Our Accountant Managers have been very knowledgable and creative, out-of-the-box investigators and our revenue stream has steadily increased over the past year. Additionally, the Customer Support Team has also been incredibly accessible and so helpful in problem-solving issues that arise.
Desvantagens:
The reports are plentiful, but almost too many options. It has been somewhat challenging to find the right reports to measure productivity. The RCM team continues to take our feedback and are regularly updating and improving reports.

Comentários: I only first went live beginning February 2021, with the encouragement of [SENSITIVE CONTENT HIDDEN]., my Implementation Specialist. I admit, in the beginning I felt overwhelmed because I am the sole provider I had to learn all aspects of the software. However, [SENSITIVE CONTENT HIDDEN] encouraged me to hang in there and promised the support would be there when I needed. I'm very happy I hung in...Insync is going to make my professional life so much easier.
Vantagens:
Insync allows me to bring all facets of my business under one umbrella: program management, submitting claims, client/patient statements, clearinghouse, credit card processing, patient portal with customized forms for progress notes and initial assessment, along with HIPAA and consent for treatment, and telehealth with Zoom that is very reliable. With the portal, patients can make their credit card payments online and send/receive emails that are all HIPAA compliant.
Desvantagens:
Setting up insurance companies was a bit of a challenge; however, that is because I forgot to change my address on Medicare website which caused a glitch in processing claims.
Extreme drop in service after switch to Qualifacts
Comentários: What used to be a relatively supportive relationship has turned into what feels like a one-up versus one-down relationship. I would not recommend their current mode of operation to anyone.
Vantagens:
The EHR was working well and the RCM team was kind and supportive prior to being purchased by Qualifacts. This is no longer the case.

The RCM team is neither supportive nor helpful.

Comentários: Our overall experience with InSync was great! There were much fewer "disconnects" between what the sales team promised and what was actually delivered than we expected. Their company is highly organized and the process from sales to use was very transparent. In the areas where the software fell short, their team was able to provide a workaround for our practice in the short-term while their development team was notified to make long-term adjustments. The implementation process happened in the midst of the COVID-19 outbreak. Which for us meant moving our on-site implementation to virtual. With that being said, InSync was still able to provide a good implementation for our practice all through Zoom calls - which further speaks to how well trained and adaptable their staff is.
Vantagens:
- EHR module for mental/behavioral health services is very comprehensive and comes with the ability to automatically integrate patient responses on forms and normed tools right into your notes. - All of the reports are very comprehensive and export to excel with filters already built-in. You can get information as granularly as you need. - Generally, most aspects of the software are highly customizable. - Support and Implementation teams are highly accessible and responsive. - The development team seems to make rapid improvements and feature requests.
Desvantagens:
- In addition to behavioral health, our practice also offers Speech, Occupational, and Physical Therapy services. Many of our patients are receiving services from multiple disciplines. Where this software excels on the behavioral health part of the EHR, it falls short for our other services. It does not have built-in templates/graphs for evaluations of the Allied Health disciplines and InSync does not have clinical professionals on their staff that really understand the clinical work-flow for those services which can make setup and implementation a challenge. We've also found that clinical goals can get shared across providers of different disciplines which can cause the note-taking process to be more cumbersome than necessary. - As this software is customizable you must "purchase" licenses for use. If you are a practice that has a fluctuating number of physicians, the process to get licenses for providers is over-kill. - With a high-level of customization comes many menus and places where changes can be made or things can be found (or lost). For many people, getting around the software is not as intuitive as others we've seen.

Well Designed EMR Solution
Comentários: Great experience overall (except for sales process) After the sales process all of people we worked with were professional and helpful. Jenn really helped us to mold the software to our specific needs and workflows, really a great experience.
Vantagens:
InSync is a well thought out and designed EMR product. The interface is intuitive and designed to streamline workflows. The things used daily are easily customized per user to make each persons workflow even easier. The implementation and support teams are excellent, really able to help you and guide you through the product with any questions you may have.
Desvantagens:
Software is sometimes slow to respond. The sales process could have been better, more clear on our expenses.

This software has definitely improved our workflow processes and has exceeded our expectations regarding the easiness and accuracy of implementation from our previous reports. The product itself is user-friendly but what is most valuable to us is the constant overview and assistance provided by our account manager, [SENSITIVE CONTENT HIDDEN]. We are extremely satisfied with her and her team’s support.
Desvantagens:
There are constant changes being made to the software program, which can create a learning curve at times, but we understand and are confident these ongoing changes are only implemented to better the products and we all benefit from these changes.

Great Implementation, transition and training!
Comentários: Changing systems has been a very stressful process as expected, but [sensitive content hidden] made it less overwhelming by being very accommodating and training very thoroughly, answering every little question that the staff came up with, and customizing notes as the providers asked for.
Vantagens:
The document manager is very simple to use, scheduling is a breeze, the providers love the ability to dictate their notes, notes are very customizable ( with the help of [sensitive content hidden], the implementation specialist for sure!) and the patient portal has been very helpful!
Desvantagens:
The main problem we have run in to is getting the electronic faxing set up.

Review of inSync
Comentários: Since we began looking for a new system, I have been impressed with inSync. Since we signed an agreement with them to use their system, their implementation has been fantastic. They have been responsive to our needs, adapting to our workflows, and their training to our staff has been excellent.

Amazing Product and Support
Comentários: Our experience has been great. The support we received from the implementation team has been amazing. Our issues were addressed usually within 1 business day and there were very few things that we wanted that the system could not do. Our team was very engaging with us and extremely patient, even as we continue with last minute changes.
Vantagens:
This software is very user friendly, even for people who struggle with technology. We also have several different programs within our agency, and this software was adaptable to all programs and we have been able to make it work for all users. The software is extremely adaptable and changes can easily be made.
Desvantagens:
The medication module can be confusing and it does take some time to practice with it to get the flow figured out.
The Support Staff MAKE the product successful!

Our prior EMR sunsetted, and InSync appears to be far superior. Wish we used it for the past years instead of our prior softwares.

Issues with Customer Service and Appointments
Comentários: One of the things InSync had promised us on moving to them was the ability for patients to schedule their own appointment using the InSync dashboard. This was a lie, the patient can only request an appointment, and they can request any time slot even if the provider is not available at that time. This is NOT Qualifacts fault, by any means. But when I asked if this feature would be implemented I was told to reach out to ask for a meeting. All of my tickets for that request have gone missing and I have yet to hear from anyone regarding this. At the moment we have to use Availity for appointments and pay to have staff move the appointments from Availity to InSync.
Vantagens:
Qualifacts bought InSync, and one of the nice things is that they didn't completely gut the good things about InSync. They did work on fixing many of the issues that InSync had, which was very promising and very nice.
Desvantagens:
When we first moved to InSync, it was so easy to call someone for help, now there is a ticketing system and I've actually had four to five tickets that completely disappeared so I'd recreate them. A month or so later I received an email regarding the ticket. The tickets had been internal only with no warning for me, which caused me to create more tickets, more than likely bogging down their system, and leaving me feeling ignored.
This system has caused too many grey hairs and too much stress . . .
Comentários: The set up process for this system was very stressful – we were promised outcome reports and the ability to do accrual accounting reports that were not developed until months after we went live with the system. Most of their support staff are from India and are difficult to understand, and the amount of staff hours it took to customize the system was outrageously high. Overall, it is a relatively easy system to use although there are times when things take three key strokes when it seems like it should only take one.
Vantagens:
Our initial support and training staff were exceptionally responsive to our needs and excellent at what they do. Most of the people who work for the company seem to really care about the product and care about whether we are happy with the system or not. Even the owner of the company went to bat for us several times when we were not getting features we had been promised in a timely fashion. Generally, the system is extremely customizable to our practice and we were able to set it up for our specific needs. Now that the system is up and running, our staff, clinical as well as billing/scheduling, seem to be really happy with it.
Desvantagens:
As I mentioned, during the initial setup and customization of the system, our initial trainers and sales people were all awesome to work with. Now that we have gone live and are using the system, we are dealing with the technical support staff. While they generally respond in a timely manner, all of the ones I have dealt with are from India and are either extremely difficult to understand or else don’t seem to fully understand what we are trying to say. This can be extremely frustrating at times. We were told the program was very customizable – which is true. The problem is we didn’t realize that their setup team had so many customizations and updates to make for other clients that it took almost 8 months from the time we signed the initial contract to get our needs addressed. This wasn’t helped by the fact that they kept giving us dates we could expect the next software roll-out and then those dates kept getting postponed. One major problem was that we had been told before we bought the system that it could do accrual accounting. Then we discovered it wasn’t set up to do accrual accounting at all. From April 1st, when we went live, to the end of June, we were unable to generate any financial data. This was a big problem for us. In addition, we were unable to generate specific outcome reports we had been promised (and that we needed for quarterly reports for some of our funding sources). This has been worked out now but was very stressful at the time. One of the things that appealed to us about this system in the beginning was the great reviews it got for its technical support and the responsiveness by which they responded to problems. While they are generally responsive, they haven’t consistently been so. One staff person told us the company was growing so fast that they were unable to respond to the increase in technical support needs. Maybe this is something that has been ironed out by now but it was certainly a problem early on.
InSync for PPEC use
Comentários: Overall I feel that InSync is an excellent EMR system. Our implementation team, with [SENSITIVE CONTENT] as our main contact, were extremely professional and resourceful. Being a PPEC facility was not an easy task for the implementation team as we have different requirements than what the EMR system was typically used for; however, they seemed ready for the challenge. Without [SENSITIVE CONTENT] helping to adapt the program to meet our needs, we would not have been able to have a successful implementation. I appreciated how organized the company was with onsite discovery, training of super users, and on site training. It was also very helpful to learn all of the features of the program to ensure we were comfortable with transitioning to support. [SENSITIVE CONTENT] made learning easy, created "how-to" videos as needed, made himself available via zoom/emails for additional help, and introduced us to Ameya Walawalkar, who was a huge asset in implementing the billing portion of the program. It was great being able to brainstorm with [SENSITIVE CONTENT] to build the system in such a way that could be utilized by any PPEC. I should also mention that we are a small PPEC who, before InSync, never utilized an EMR system nor clearinghouse. I can proudly say that we are now able to efficiently utilize an EMR program for daily documentation and billing. It was a please to be able to work with such a great team and great company.
Vantagens:
The best features of the program are definitely the To-Dos and internal messaging. As a facility with various departments utilizing the system, it makes communication and team work so much easier. We also love the aesthetics of the program. Viewing important patient information on one page (Facesheet) makes documenting easier. As a super user, I love being able to create/edit my own forms to make the program more applicable to our needs.
Desvantagens:
Though the implementation team, specifically [SENSITIVE CONTENT], worked tirelessly to tweak the EMR system to meet our needs, there are plenty of features that are needed to maneuver the system more effortlessly for a PPEC facility. The care plan section under treatment plan will be a future issue for the therapy department. Our patients can be enrolled in therapy up until 21 years of age and treatment plans are updated every six months. At this time, the EMR does not drop off/inactivate old goals created in treatment plans resulting in the potential of having 21 years of goals viewable in the system. In addition, the eMAR portion of the program is in need of enhancements to make it more user friendly for our nursing staff. We are unable to edit sig/instructions, start/stop dates without the assistance of support staff from InSync. PPECs are typically open 12 hours a day, M-F; however, some medications entered on the eMAR are given outside of business hours. At this time, our nursing staff have to enter "medication to be given at home" for every medication scheduled outside of business hours. It would be beneficial for any business that administers meds during a specific time frame to have the capability to set time parameters to decrease the daily work/responsibilities, allowing more one on one patient care. Reports/analytics also requires some new features, as we are unable to run medication reports, specifically what has been administered within a specific date range/drug type.
Implementation Review
Comentários: The program is really advanced and streamlined. There are many features currently available, and they are always taking notes to make improvements & better the system. Overall, once we have more data in place, and time under our belt, I think it will be a very good system for our practice.
Vantagens:
Having a full team / supports to train & dissect each area to best fit our needs for workflows. Tamara Davis was our implementation specialist. She was ON-IT! She was beyond diligent in documenting what we needed to do, what was done, questions / concerns, and everything under the sun. Excellent follow up as well. I big thank you to her. This transition could have been treacherous without someone who paid such diligent attention to everything. #Wonderful
Desvantagens:
Data migration is seemingly quite a long time. It has been abundantly stressful on my business office (Clinical receptionists / Intake coordinators / billing specialists) to toggle back and forth to see if we have consents from old system to new system, as well as not having all the demographics transfer over. (ie parent information etc). Additionally, I would say the astounding #1 least enjoyed aspect is trying to get all prior clients / as well as any new clients set up in the portal. The process is fairly simple via create username / give password / bing-bang-boom. However, GOOGLE's enhancement + Iphones + tablets etc cause excessive grief. Client's are frustrated trying to transition, clinicians are frustrated the Hx is not in & auto-populating the notes, front office is burnt out trying to ensure the transition is being completed in any sort of cadence. - EASILY the biggest con we have. :(

Efficient and Customizable Medical Records System
Comentários: The extensive process that we went through, from the introduction of our workflow to the final rollout was comprehensive and exceptional. The Clinical Implementation specialists were thorough, patient, and knew the inSync system inside and out. Because of this high level of familiarity with their product, they were able to cater to our needs extremely well and to help us create a product that worked best for our company. In addition, they were able to train our staff to a level where we are now able to create our own custom and clinical forms should the need arise and to independently configure the system to our needs.
Vantagens:
We are a pediatric therapy clinic that has had our own medical record system and way of doing things for years. The inSync software supported the vast majority of what we needed in our documentation system and we were able to integrate our needs into their system very well. If it was not a feature that inSync had an established system for, they worked quickly to find a workaround or to create that feature in their system. The end result was a more efficient and customized system than we had previously been using.
Desvantagens:
I can't speak to the scheduling aspect of the system as I am involved primarily on the clinical documentation side. It is my understanding that some of the aspects of the scheduler were not initially as efficient as hoped for a multi-clinic location. However, I also believe that these concerns were immediately addressed and modifications have already been put in place.
New Horizon Care Center's inSync Experience
Comentários: Our implementation specialist, [sensitive content hidden] - made the whole process manageable and continues to work hard at resolving any concerns as they arise! He was instrumental in our success and couldn't have been a better reflection of inSync as a whole. He made sure that every person involved was heard and their requests were always fulfilled in a timely manner. He projected his confidence in the system to our end-users - his enthusiasm and positive attitude were contagious!
Vantagens:
Their BHSD Module was already integrated with minimal development needed.Overall ease of use and intuitive interface.Available customer support call center.Microsoft ReportingClearinghouse connectivity.
Desvantagens:
Make sure that the Integration team is transparent about "Go-Live" does not mean you need to start doing services immediately, that "Transitioning" seemed to be the point of being 100% integrated. Please also inform the users that there will be a lot of work associated post-Data Migration (would have liked a week in between Data Migration and Training to complete set ups correctly so that trainers weren't having to manage that in the moment).Wish that the Claims Processing screen showed more claims at one time when you are searching!Would like if the PT portion of integration started sooner in the overall integration - depending on the Billing Rules certain Encounters were affected and it would have helped to manage that simultaneously.
Rough start but getting there
Comentários: The implementation process was very rough for us as we changed specialists several times and when we went live we were nowhere ready to go live. The oversight of that process was lacking - someone at InSync should have looked at our setup and realized we were not ready. This caused a very difficult and drawn out process after going live. The implementation specialist we got after go live who did stay with us throughout was wonderful and the only reason I gave a 7 as to likely to recommend InSync. If it were not for [SENSITIVE CONTENT] I would not only not recommend InSync due to the botched setup/implementation I would recommend against it to others. I hope the positives that come from our situation is that processes are improved to make sure the setup is more complete/on target before going live for other companies in the future. The number will go up if support and new feature implementation goes well in our next few months.
Vantagens:
The flexibility and customization are the best features of InSync. So many other systems are very rigid and not able to be very personalized.
Desvantagens:
Some areas there are way more clicks than is necessary, or the area you are in has several options but the one that is automatically open when going there is not the one used most often - so more clicks.
