It is extremely easy to use and very cost effective. Easy to show that staff have reviewed since an email is sent to them each time a policy is edited.
Also, I have problem giving permission to the Managers for biennial review of their department procedure manual.

Comentários: We just started building our Media lab and it has been easy thus far. We will be open for our accrediation inspection. This software is supposed to make the inspection seamless.
Vantagens:
Ease of use for electronic storage of records.
Desvantagens:
With Inspection Proof... with regards to the accreditation checklists ... once you select begin inspection .. additons or changes cannot be performed
Easy, Practical and Customizable Electronic Document Management System at a Great Value
Comentários: We have been transitioning from an older system using word documents kept in a secure drive. MediaLab has offered the ability to collaborate on document revisions, securely track document changes, and feel more assured that only the most current version of each document is in use. We can also see at-a-glance what documents exist as approved, in-review or needing update and can see usage reports to know which are most valuable. Feedback from custom quiz success rates allows us to improve how documents (or quizzes) are written. The system also allows for remote access, which is essential to making it available wherever you are that has internet connectivity.
Vantagens:
MediaLab is an easy-to-learn and robust, yet simple-to-use and maintain electronic document management system. It simplifies the document control process and allows users a variety of paths to manage their laboratory documents, including policies, processes and procedures, forms references and much more. The user interface is intuitive, and allows users to quickly access the information that they need through searchable documents. The software keeps track of previous document versions and actions, optionally allows the printing of controlled copies and makes document approval and review a snap. There is also an option to generate customizable quizzes that can be used to verify personnel have read the salient points of each new or revised document and this can double in its use as a part of competency assessment. Site management is also intuitive and comes with extensive accessible help for those with minimal background in website management. The downloadable back-ups are invaluable. The customer service has been outstanding! If you need an easy-to-use, practical and customizable electronic document management system at a great value, I highly recommend this product.
Desvantagens:
Nothing! If I had one wish for this product, it would be to expand its functionality with portable tablet devices. That could make it even easier to keep at the testing bench.
Overall, positive. Becoming more proficient as I become more familiar.
Vantagens:
Inspection proof: I like that our CAP checklist is imported and it is easy to link procedures to it. We will see how good it is during our upcoming CAP inspection. This will be our first inspection using Media Lab software.
Desvantagens:
There is definitely a learning curve with this product. There are some features "hidden" in places that don't seem logical to me. The interface is a little "old school" looking, but maybe that's why it's so cheap. I don't even know where to begin with Compass.

Comentários: Benefits include ability to easily pull reports, make changes quickly, assign training and enter documents for training without problems, and navigating the system with ease. However, because we are using the system for training only, it has its limitations.
Vantagens:
Note: Our company uses MediaLab for training only, not document control - Easy navigation of system (straightforward on how to train on documents) - Easy to input information (personnel information, documents) - Customer response is quick - Having the functionality to assign Group Supervisors and assign special employee signoffs - Great traceability within the system (change history for users and for permission changes)
Desvantagens:
Note: Our company uses MediaLab for training only, not document control - Unable to customize reports (would like to pull reports within specific dates (not full list), list of personnel with their assigned manuals) -Unable to customize due dates for Performing Employee signoff (we have different requirements for PE - Assigned dates are incorrect (since we are using the software for training only, it has been problematic that when a document with a minor revision is signed off, the assigned date is changed to the signoff date - our metrics for training compliance is signoff date minus assigned date so we have inaccuracies in our data)

Comentários: I have used several Document Management systems. This is by far the easiest to use. I meets all our regulatory requirements. The support in both setting up the system and ongoing has been wonderful. Any requests have been quickly dealt with. Also, they are very open to suggested changes. We have been so pleased with the Document Management system and are now adding on additional programs, such as Compass and Inspection Proof
Vantagens:
You really can't make a mistake in using the system. I particularly like that you can assign users to review the documents and track their usage. Also, it's very easy to send comments back and for to users, for example if a change is requested or a typo is noted. We have staff that are not the best at using computers and this program has been very easy for them to use. We feel that for the first time that our documents are usable, accurate and great tool to train our staff to.
Desvantagens:
No Cons at all. Just recommend taking the time to write and format your documents prior to checking them into the system. This will make the process much smoother.
This has been a really cost-effective way to organize our lab and maintain compliance.
Comentários: This has helped us save an entire forest of trees. It has also improved tracking of our active documents in the lab.
Vantagens:
Prompts to log in and review documents are very helpful. It's also great to be able to see who has accessed specific documents and for how long.
Desvantagens:
The UI feels really old and is very appealing. It is also not possible to approve items in bulk (as far as I can tell).
This web based version makes it so easy to assign training to a remote workforce.
Vantagens:
I especially like the feature to add our own company training programs and have it be easily assigned to employees.
Desvantagens:
We can only grant access to a specific number of employees. We often have to delete termed employees so we can grant access to new employees. When we do this we lose their training completion records.

We've used this in our laboratories for many years, and have found it to be very helpful and useful
Desvantagens:
The price does seem to increase each year, and there is only one site administrator allowed per site, which is cumbersome
MediaLab Laboratory Document Control
Comentários: It's great! It was nearly impossible to keep up with reviews and versions without a system like this. It really makes my job easier.
Vantagens:
You can assign your own policy numbers OR let the system assign them.
Desvantagens:
Sometimes a bit confusing when trying to go back to a manual, but it is really straightforward, just need to get used to it. I never set up my new user call, but it is available at any time.
It's like switching from an analog watch to a digital watch. Great tool for any lab.
Vantagens:
The ability to digitally store, manage, and keep track of your manuals and forms is WAY better than the old method with paper. There are multiple options on editing and modifying a document. No more are the days where you need to hound your lab director, supervisor, or employees to sign a document. The software will remind that person daily and there is a comment box that will inform what changes have been made to the document. You can also link the CAP inspection checklist to the manual so inspectors have an easier time finding the checklist item in question.
Desvantagens:
There is a learning curve to understanding and using the software. Still learning different functionalities of the software as I continually update my manual.
I use the software extensively to train our students and CLS staff
Vantagens:
The courses offered are comprehensive and excellent quality. We are a teaching hospital and we train CLS students in our laboratory, the ability to create our own custom courses thru Coursebuilder is a great tool for teaching.
Desvantagens:
Website navigation is not intuitive. It takes familiarity with the software to find information. We use Document Control for our procedures and it is not that easy to search a topic or procedure. Layout is confusing sometimes.
Makes document control easy
Comentários: The system has been easy for the staff to learn and controlled permissions provide document security. I also like the fact that all your company SOPs and worksheets are in one place!
Vantagens:
Ability to organize the documents for easy retrieval by staff. Also the ability to keep up with timely review of documents so as to maintain compliance.
Desvantagens:
Sometimes hard to find how to control permissions and access. Can usually find it, but sometimes takes a while to get it right.

The ability to really control our document library - both the documents and the users. Very user friendly.
Desvantagens:
That it logs me out so frequently - I stay on all day, and get logged out after too short of a time.
Use MediaLab for procedures and documents.
Vantagens:
I am still learning about it. I like that it is shared by so many places. Approvals can be done without passing documents. Once you get familiar it is easier to use. It puts all the documents in one place. I understand there is much more with continuing education that I have not learned yet.
Desvantagens:
Not always sure what key words will pull up what I am looking for. Wish there were an index. The font is very small on my computer and I have problems choosing a manual or document at times. I am not sure why we have to approve procedures for everything including stuff we do not perform in our lab. I am not sure about a Help Center or phone call hot line. It would be nice to have something like that.
Find it very useful to keep track of documents and meet regulatory requirements for timely reviews.
Comentários: Easy way to track documents
Vantagens:
Easily accessible at the bench. space is limited in our lab, so being able to keep documents electronically is a big plus. Especially in Chemistry - no large unwieldy binders to keep on the bench. Also like the feature that requires staff to sign off on procedures when they are updated. It holds them accountable for changes, and is useful in coaching or disciplinary opportunities since you can point out that they signed off, and are thus responsible for knowing where to find information.
Desvantagens:
Somewhat time consuming to set up, but once set up its pretty easy to maintain. Would be nice if the uncontrolled copies had a expiration date of 24 hrs on them. Would keep people from hoarding them.
Overall has been useful/fairly simple to use but sometimes locating what you need is a bit difficult
Comentários: Standardization of documents and good for preparation of inspections (JC, CAP etc..)
Vantagens:
procedures organized easily searchable changes/signoffs easily tracked the quick links to things that are needed to be completed/addressed
Desvantagens:
as an admin it is difficult sometimes to find the task you need (print, assign, upload, ask for a sign off etc...) and you may not have access to a certain task and not realize it. it has been mentioned that the alerts are sometimes confusing to users about what exactly it is that needs to be completed.
Setting up document control was a challenging experience, however one well worth it.

Vantagens:
The features and functionality meets all our needs for document management. It's obvious a lot of thought went into programing this software, very impressive. Also, MediaLab's customer service is exceptional. All the customer service personnel are very knowledgeable and patient when addressing our troubleshooting needs.
Desvantagens:
Although the functionality is stellar, sometimes I feel there are too many ways to accomplish a single task.
Document control with MediaLab has really helped improve life in our lab.
Vantagens:
This product is very easy to use. The ability to assign users to groups and groups to manuals has made it easier to keep up with performing employee sign-off.
Desvantagens:
Sometimes if you are adding additional approvers to a document, there is a bug that sometimes inhibits the user being added to sign from seeing the correct version.
Lab Procedures and Policy Tracking made "EASY"
Comentários: With document control (if done correctly), our laboratory team can evaluate documents quickly and could identify concerns that could be used to improve the laboratory.
Vantagens:
We enjoy the way it tracks and monitors the review and approval of documents. The flexibility of how documents can be organized. The ability to store all types of documents that could be useful for CAP Self-Inspections and CAP Inspections (Inspection Proof). We also like how the system can be used to collaborate between staff members on policies or procedures prior to sending them for approval.
Desvantagens:
The challenge was probably the initial setup. However, we were provided with good resources to help accomplish it.

Vantagens:
Very easy to use and requires very little instruction for new users. Workflows are quick to set up and easy to follow. Applying quizzes for revision changes. Very easy to link related or dependent documents together.
Desvantagens:
No table of contents for large documents, would be nice to have a ToC that functioned as a navigator to jump to specific section in a document. Too many windows to click through for some options.
Best program out there!
Vantagens:
Easy to use, lets you customize permissions for all users. MediaLab staff makes it easy to work with, always very helpful and they always respond as quickly as possible. I would not use any other program to "control" my documents.

This has been a really good tool for our small lab to become more organized and efficient.

Vantagens:
I most enjoy the ability to automate document review. It makes what would otherwise be a time-consuming and confusing process something that we hardly have to think about once it's set up correctly.
Desvantagens:
What I would like to see in this software is an easy-to-use section that reports on emails that have been sent out by the system. Sometimes I am only made aware of certain employees receiving too many emails after they tell me, and I wish there was a way to monitor the frequency within the administrator page for all employees.

Vantagens:
The ease of use and helpfulness of customer support. The email notifications help to keep you a track. I also like the reminder to update the paper version so that it always stays current.
Desvantagens:
Having to remember to assign groups, peer reviewers, admins, lab directors, for each manual. It's easy to miss a part that leads to problems.
A standard almost everyone uses
Comentários: One huge benefit is being able to manage our documents electronically. This is both convenient and secure especially when working remotely.
Vantagens:
The software is a necessary standard that a lot of labs are using so it does what it is supposed to do.
Desvantagens:
The software layout is very old school and in need of a serious makeover.
